Job Opening: Full-Time Administrative Assistant
We are seeking a dedicated full-time administrative assistant to support our office operations. The role involves a variety of responsibilities aimed at ensuring efficient office functioning.
Responsibilities:
1. Provide administrative support to ensure smooth office operations.
2. Assist managers and staff with organizational and communication tasks.
3. Handle confidential and sensitive information with discretion.
4. Communicate effectively via phone and email.
5. Complete administrative duties accurately and timely, maintaining high-quality standards.
6. Answer and direct phone calls.
7. Organize and schedule meetings and appointments.
8. Maintain contact lists and develop a filing system.
9. Prepare, copy, scan, and distribute correspondence, memos, letters, faxes, and forms.
10. Assist in preparing regular reports.
11. Order office supplies and manage inventory.
12. Book travel arrangements and submit/reconcile expense reports.
13. Support visitors and provide information as needed.
14. Conduct research and prepare invoices.
15. Coordinate repairs and evaluate new office equipment and techniques.
16. Cover reception duties when required.
17. Maintain both digital and manual filing systems.
18. Manage staff appointments and supervise junior staff, including maintaining employee holiday records.
Requirements:
1. Fluent in English and Spanish.
2. Minimum of 3 years experience in office administration.
3. Proficient in Microsoft Word and Excel.
4. Bachelor's degree required.
5. Legal documents to work and reside in Spain.
6. Strong time management and stress resistance skills.
