Purpose of the Role
This role combines accounting support and operational back-office responsibilities. The successful candidate will assist with the day-to-day accounting administration of the Spanish subsidiary while also supporting the operations and sales teams with purchasing, order processing, logistics coordination, and supplier communication. The position requires close collaboration with colleagues in both Spain and the UK.
Key Responsibilities
- Assist with day-to-day accounting administration for the Spanish entity
- Record and maintain accounting entries, invoices, and supporting documentation
- Support reconciliation tasks and preparation of accounting schedules
- Liaise with the UK finance team and external accountants
- Process sales and purchase orders in internal systems
- Coordinate with suppliers regarding pricing, availability, and delivery schedules
- Create and manage purchase orders
- Support the sales team with order administration and documentation
- Track and follow up on supplier deliveries and customer shipments
- Coordinate logistics such as equipment collections, deliveries, and transport arrangements
- Maintain accurate internal records for orders, suppliers, and logistics activities
- Communicate with international customers and suppliers in English when required
- Provide general administrative and operational support to the Spanish office
- Ensure accuracy, organization, and compliance with internal procedures
Essential Requirements
- Minimum of 2 years’ experience in an accounts assistant, finance assistant, or similar accounting support role.
- Fluent Spanish and good written and spoken English.
- Strong organizational skills and attention to detail.
- Ability to manage multiple administrative tasks simultaneously.
- Practical working knowledge of Excel (e.g. spreadsheets, basic formulas, reconciliations)
- Comfortable working in an office-based environment and collaborating with international colleagues
Desirable (but not essential)
- Experience working with accounting or ERP systems
- Experience in purchasing, order processing, or logistics coordination
- Experience working with international companies or teams
- Interest in developing skills in both finance and operations administration
