The European University Hospital Alliance (EUHA) is formed by eleven leading European university hospitals with demonstrated excellence in healthcare education and research. Our members are Assistance Publique-Hôpitaux de Paris in France; Charité Berlin in Germany; Erasmus MC in the Netherlands; Karolinska University Hospital in Sweden; Kings Health Partners in the United Kingdom; San Raffaele in Italy; Vall d'Hebron in Spain; the Vienna University in Austria; and UZ Leuven in Belgium; Helsinki University Hospital in Finland; and Aarhus University Hospital in Denmark. They collaborate to improve outcomes for today's and tomorrow's patients. EUHA was founded in 2017 and is a young and vibrant organization where over 250 colleagues from member university hospitals collaborate across various networks and working groups. The EUHA office manages the organization and operations, supporting these networks to deliver the EUHA strategic plan and acting as the link between colleagues and the EUHA Steering Committee. EUHA wishes to strengthen its administrative and organizational support and is therefore looking to hire a secretary.
The EUHA admin will work as part of the EUHA office, playing a pivotal role in supporting the development and growth of the organization's activities and projects. The candidate will be responsible for ensuring that all processes and initiatives are carried out with the highest standards of quality, efficiency, and punctuality, ensuring deadlines are consistently met. The role involves coordinating and executing administrative tasks, organizing meetings and events, and preparing reports and relevant documentation. Additionally, the Secretary is expected to collaborate closely with both internal teams and external stakeholders to facilitate the successful implementation of EUHA's strategic objectives. The person in this position will be essential in further strengthening the organization's operational standards and ensuring that all initiatives are executed smoothly, effectively, and in alignment with EUHA's mission and vision.
Education and qualifications:
Required:
* Advocate training or Administrative Assistant degree or equivalent professional education in health sciences, public policy, marketing, or any other relevant area. Candidates with comparable knowledge, skills, and abilities obtained through other forms of education are also invited to apply.
* High proficiency in written and spoken English.
Desired:
* Fluency in other languages (specifically: Catalan, Spanish, or any other EUHA languages).

* Previous experience in administrative activities with strong organizational skills.
* Experience with Office suite tools.

Main responsibilities and duties:
* Organizing meetings, including identifying dates, sending invites, drafting minutes, and recaps.
* Formatting documents, agendas, and publications.
* Performing specific project administrative tasks.
* Managing access to Teams channels and updating the Planner.
* Maintaining the EUHA information management system.
* Performing other tasks as decided by the Members Assembly, Steering Committee, or Secretary General and Office.
* Occasional travel to EUHA member university hospitals or events may be required.
Labour conditions:
* Full-time position: 40 hours/week.
* Gross annual salary: 26,000 euros, consistent with our Collective Agreement pay scale.
* Contract: Open-ended contract linked to the project (8 months).
