Role Overview
We have an exciting opportunity for someone to join us as an HR Operations Specialist on a 12-months FTC. The role oversees HR administration, payroll coordination, employee data management, as well as onboarding and offboarding activities, ensuring accuracy, compliance and smooth day-to-day operations across the function. Working alongside the regional HR team and other cross-functional stakeholders, this role offers strong long-term development potential for an individual looking to build their expertise within a dynamic and supportive environment.

This role will be working for Volcafe, based in Madrid .
Key Accountabilities
* Managing core employee administration, including contracts, amendments and legal documentation, ensuring compliance with local labour legislation.
* Maintaining accurate employee data across HR systems, including files, time and attendance, as well as absence records, ensuring confidentiality and data integrity.
* Preparing employment-related letters and documentation in line with company policies.
* Coordinating monthly payroll by running reports, liaising with payroll vendors and validating absence and hourly inputs.
* Supporting tax reporting and ensuring payroll updates reflect legislative and employee changes.
* Administering employee benefits and pensions, including registrations, updates, record-keeping and responding to queries.
* Managing onboarding and offboarding processes, including system setup, documentation and coordination across HR platforms.
* Producing HR and finance reports while ensuring data accuracy and compliance.
* Liaising with external partners such as labour agencies, payroll providers and insurers.
* Providing support to employees and ex-employees, and contributing to EDI, wellbeing and recruitment initiatives.
Skills and Experience
* 2+ years of experience in a HR, payroll or benefits administration position.
* Degree in Human Resources or a field related to labor law, or a recognised HR or labour law certification would also be accepted.
* Fluent in English and Spanish is essential, additional European languages would be an advantage.
* Solid knowledge of HR administration, payroll processes and local labour legislation.
* Experience working with HR systems and payroll platforms, familiarity with ERP systems is advantageous.
* Strong organisational skills with the ability to manage multiple tasks and deadlines with accuracy.
* Excellent communication skills, with confidence liaising with employees, external providers and internal stakeholders.
* Detail-oriented, analytical and structured approach to data management and reporting.
* Service-oriented mindset with a high level of discretion and confidentiality.
* Proactive and self-motivated, with the ability to work independently and as part of a team.
* Proficient in MS Office; experience with HR systems such as Oracle or similar platforms is a plus.
