About the Job

Based at Mandarin Oriental Punta Negra, Mallorca, as the Engineering Administrative you will be responsible for providing comprehensive administrative support to the department, ensuring smooth daily operations, and facilitating communication between teams and departments. This role involves organizing schedules, managing documentation, and assisting with various administrative tasks to help maintain the hotel’s high standards.

Responsibilities

- Handle phone calls, emails, and correspondence for the Engineering Department.
- Assist in the preparation of reports, invoices, and purchase orders.
- Maintain and update department records and files.
- Coordinate meetings and appointments for the Engineering Manager.
- Monitor and order office supplies for the department.
- Support in scheduling maintenance tasks and coordinating with relevant departments.
- Assist with project tracking and follow‑ups.
- Ensure compliance with hotel standards and safety regulations.

What We Expect From You

Experience and Education

- Minimum of 2 years of experience in an administrative or secretarial role, preferably in a hotel or hospitality environment.
- High school diploma or equivalent required; a degree or certification in office administration, business, or a related field is preferred.
- Experience with office management and handling administrative tasks related to maintenance or engineering departments is a plus.

Technical Skills

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with hotel management software or maintenance management systems is an advantage.
- Ability to manage databases and maintain filing systems effectively.
- Excellent written and verbal communication skills in both English and Spanish.
- Strong organizational and multitasking skills, with the ability to manage multiple tasks and priorities.
- Attention to detail and the ability to maintain high standards of quality.
- Problem‑solving abilities and a proactive approach to addressing issues.
