Job SummaryWe are looking for a student in Business Administration (ADE), Administrative Management, or Vocational Education and Training Studies in Administration and Finance to join our Facilities & Services department within the Administration & Control area.The main objective of this role is to provide support to the Facilities department by actively participating in the annual price request project. This includes preparing, completing, sending, and following up on forms, as well as the digitalization and filing of all related documentation. Additionally, the intern will support the annual order closing and invoicing operations and will participate in preparing and launching orders for the new fiscal year.The intern will provide significant support during the annual closing of services, ensuring the administrative tracking of orders and annual billing, while contributing to a global and structured overview of prices, contracts, and orders for the upcoming year.Key AccountabilitiesPreparing, filling out, and tracking price request forms for suppliers.Digitalizing and filing all related documentation.Updating the Suppliers Communication Plan and the list of recurring services.Collaborating in the annual closing of purchase orders and invoicing.Supporting the delivery of communications and emails to suppliers.Networking/Key relationshipsInteracting with department staff and various external service providers.Minimum Knowledge:Vocational Training Studies in Administration / Administrative Management, or currently pursuing a University Degree in Business Administration (ADE) or related fields.Skills & Capabilities:Organizational and planning skills.Attention to detail and thoroughness in administrative and document management.Intermediate knowledge of Office 365, particularly Excel.Proactive and collaborative attitude (contact with Administrative and Technical departments).Focus on order, traceability, and process compliance.
