1. Tasks:
2. The Junior Financial & Administrative Manager will offer financial & administrative support across departments (project management, proposal writing, communication) and coordinate office management tasks to ensure organisational effectiveness, efficiency, and safety.
3. Administration Support:
4. Support the CEOs.
5. Assist with the preparation of quotations for clients and follow-ups. Support with contracts, suppliers & invoicing (ensure invoices of internal expenditures are duly retrieved).
6. Assist with administrative procedures during project proposal preparation (e.g., requesting partners’ administrative information, budgets, setting up meetings or presentations).
7. Support administrative procedures related to active projects management.
8. Assist in maintaining & developing a client database.
9. Office Management:
10. Maintain & track stock of office supplies (notebooks, ink cartridges, etc.) & services provided (cleaning, etc.).
11. Keep office inventories up to date: IT devices, office supplies, etc.
12. Ensure the functioning of IT systems: supervise office condition and arrange repairs if needed.
13. Other similar functions as needed.
Requirements:
1. Mandatory Skills:
2. Proficiency in MS Office (Excel, MS Teams, Word, Outlook).
3. Education in business administration, accountancy, or related field.
4. Proactive, good with numbers, and initiative.
5. Excellent time management skills and ability to multi-task and prioritize work.
6. Attention to detail and problem-solving skills.
7. Strong organizational and planning skills in a fast-paced environment.
8. Bonus Points:
9. Knowledge of other languages.
10. International experience (professional or during education/training).
