What are we looking for?
Key responsibilities include:
* Maintain and update the QA Director’s calendar, ensuring effective scheduling and time optimization.
* Coordinate meeting logistics (room/Teams booking, invitations, agendas, materials, attendance, and action follow-up).
* Handle and filter phone calls, emails, and external visits, routing appropriately to the QA Director.
* Organize travel arrangements and itineraries when required.
* Prepare and submit expense reports, ensuring timely and accurate reconciliation for Finance/Treasury.
* Manage departmental correspondence (internal/external), including filing and archiving after review.
* Support administrative coordination with internal and external stakeholders as delegated by the QA Director.
* Organize department events and team activities (logistics, rooms, materials, vendor coordination if needed).
* Maintain the QA department’s documentation structure (shared folders/Teams), ensuring organization and controlled access.
* Process Purchase Orders (POs) in SAP and support invoice management (tracking, validation, and follow-up with Finance and suppliers).
* Prepare and format documents and presentations (especially PowerPoint) to support QA communications and meetings.
