Job SummaryThe Operations Supervisor is responsible for overseeing the operational efficiency, safety, and quality of training delivery at a facility providing OPITO, STCW, and GWO training. This role ensures compliance with industry standards, quality management systems, and regulatory requirements while maintaining high standards of training delivery and facility operations. The Operations Supervisor will implement and monitor procedures, observe instructional staff, manage facility maintenance, and ensure robust inspection regimes to support a safe and effective training environment.As part of an initial trial period of up to 6 months, the Operations Supervisor will be supported by the CEO, regional Operations Manager’s and external consultants to support and mentor the candidate, giving them a roadmap to operational excellence for the Taliarte Centre Key Responsibilities - Maintaining Standards and Compliance Ensure all training programs (OPITO, STCW, GWO) adhere to relevant accreditation standards, industry regulations, and organizational policies. Monitor compliance with quality management systems (e.g., ISO 9001 or equivalent) and maintain accurate records for audits and certifications. Liaise with external auditors, accrediting bodies, and regulatory authorities to ensure ongoing compliance.- Implementing and Monitoring Procedures Develop, implement, and review operational procedures to ensure consistency, safety, and efficiency in training delivery. Ensure all staff follow standardized procedures and update documentation as required to reflect best practices and regulatory changes. Conduct risk assessments and implement corrective actions to address operational or safety concerns.- Observation and Support of Instructional Staff Regularly observe instructional colleagues during training sessions to ensure adherence to approved curricula, teaching standards, and safety protocols. Provide constructive feedback, coaching, and mentoring to instructors to enhance training quality and professional development. Coordinate with the instructional team to schedule instructor evaluations and ensure competency requirements are met.- Adherence to Quality Management Systems Oversee the effective implementation of the facility’s quality management system, ensuring all processes meet internal and external standards. Maintain and update quality records, including training logs, incident reports, and compliance documentation. Lead internal audits and prepare for external quality assurance inspections by accrediting bodies.Facility Maintenance and Inspection Regimes Oversee the maintenance of training facilities, equipment, and resources to ensure they are safe, functional, and compliant with industry standards. Develop and manage inspection schedules for training equipment, safety systems, and facilities to meet OPITO, STCW, and GWO requirements, as well as local regulatory standards. Coordinate with maintenance teams or external contractors to address repairs, upgrades, or replacements promptly.- Operational Oversight Supervise daily operations, including scheduling of training sessions, allocation of resources, and coordination of staff. Monitor operational performance metrics and implement improvements to enhance efficiency and trainee satisfaction. Manage inventory of training materials and equipment, ensuring availability and compliance with specifications.- Health, Safety, and Environmental Compliance Ensure a safe training environment by enforcing health and safety protocols in line with industry regulations (e.g., OPITO, STCW, GWO). Investigate incidents or near-misses, document findings, and implement preventive measures. Promote a culture of safety and compliance among staff and trainees.Stakeholder Engagement Collaborate with internal teams (e.g., instructors, administration) and external stakeholders (e.g., clients, accrediting bodies) to ensure seamless operations. Address client feedback and work to enhance the training experience while maintaining standards.Qualifications and Skills Experience: Minimum of 3 years of experience in training operations, preferably in a training or educational environment with knowledge of OPITO, STCW, or GWO standards. Certifications: Relevant certifications in quality management (e.g., ISO 9001 Lead Auditor), health and safety (e.g., NEBOSH), or industry-specific qualifications are highly desirable. Working towards relevant qualifications during trial period will be required. - Skills: Strong understanding of quality management systems and industry accreditation standards. Excellent organizational and leadership skills with the ability to manage multiple priorities. Proficient in observing and evaluating instructional performance with a focus on constructive feedback. Knowledge of facility maintenance and inspection processes, including safety equipment standards. Effective communication and interpersonal skills for collaboration with staff, clients, and auditors. Proficient in Microsoft Office suite.Personal Attributes Detail-oriented with a commitment to maintaining high standards. Proactive problem-solver with a focus on safety and quality. Ability to work under pressure and adapt to changing operational needs. Team player with a collaborative approach to leadership.Working Conditions The role is based at the training facility with occasional travel for audits, training, or stakeholder meetings. May require working outside regular hours to oversee training sessions or address urgent maintenance issues. Exposure to training environments, including outdoor or simulated conditions, requiring adherence to safety protocols.The role will initially be on a trial basis for up to 6 months, transitioning to a permanent position on successful completion of the trial period. Role will initially be a hybrid instructional and supervisory role, so the candidate will be required to continue with course instruction as required.
