**Roles and Responsibilitie**
**Purchasing Management**:
- Request quotes from suppliers for office materials, supplies, and reprographic services.
- Place material orders, monitor deliveries, and manage any related incidents.
- Maintain and update a database of suppliers and products.
- Prepare purchase orders and verify the correct receipt of invoices.
- Negotiate deadlines, prices, and conditions with suppliers under the supervision of the department head.
**Inventory Control**:
- Monitor and control the inventory of office and reprographic materials.
- Conduct periodic inventories and propose restocking actions.
- Ensure that necessary supplies are available in a timely and efficient manner.
**Administrative Management**:
- Prepare reports on consumption and expenses related to purchases and reprographics.
- Assist in the creation and maintenance of records and purchasing documentation.
- File contracts, invoices, and supplier-related documents.
**Reprographics and Related Services**:
- Coordinate and manage requests for printing, photocopying, and scanning documents.
- Control the use and maintenance of reprographic equipment.
- Follow up on jobs outsourced to external printing and binding services.
**Internal User Support**:
- Address material and reprographics requests from staff within the organization.
- Handle incidents related to supplies or contracted services.
**Job Requirements**
**Educational Background**:
- High School Diploma or Vocational Training in Administration, Logistics, or related fields.
**Work Experience**:
- At least 1 year of experience in administrative tasks, preferably in purchasing management or similar services.
**Specific Knowledge**:
- Proficiency in office tools (Word, Excel, Outlook).
- English language skills would be an asset, firts level desirable.
- Basic knowledge of purchasing processes and inventory control.
- Familiarity with reprographic equipment (printers, photocopiers, scanners).
**Skills and Competencies**:
- Organizational skills and the ability to manage multiple tasks simultaneously.
- Attention to detail and accuracy in work.
- Strong communication skills and ability to interact with suppliers and internal clients.
- Problem-solving abilities and efficiency in managing incidents.
