You’re passionate about events — but more specifically, you’re the organizational mastermind behind the scenes. You thrive when juggling sourcing, compliance, and project admin support. You love structure, you live for Excel, and you’re the person everyone turns to when they need it done right and fast. You’ve got deep knowledge of healthcare regulations, a sharp eye for detail, and know the German event market inside-out. Sounds like you? Keep reading.

What you’ll be doing

In this role, you will work 100% on one of our key pharmaceutical clients:

1. Supporting project managers with administrative tasks including reporting, budget updates, and scheduling.
2. Uploading documents and data to platforms like Cvent, ensuring accuracy and adherence to client processes.
3. Ensuring all compliance requirements are met and correctly documented.
4. Maintaining and improving structured reporting tools and documentation.
5. Assist with venue, travel, and resource coordination.
6. Maintain and update project folders and documentation.
7. Manage vendor contracts and logistics.

Must haves

We really mean it. Candidates who do not meet the following criteria will not be considered:

* 2 to 5 years of experience, including relevant experience in the event industry.
* Experience and good understanding of event regulations within the pharmaceutical and/or healthcare industry.
* Excellent knowledge of Microsoft Office and digital event platforms and delegate management tools (particularly Cvent).
* Fluency in spoken and written English & Spanish.
* Detail-oriented and organized.
* Based in Madrid.

Nice to haves

* Fluency in German or French (in addition to English and Spanish).
* Event agency experience.
