You will play a vital role in ensuring smooth operations, supporting leadership, and creating an efficient, welcoming workplace. Mission
Under moderate supervision, this role ensures seamless internal services by managing office operations, coordinating administrative tasks, and serving as a key point of contact for facilities and internal support. You will handle correspondence, oversee office supplies, and provide essential support to the Site Manager and other stakeholders.
Key Responsibilities
- Manage the general switchboard (telephone service)
- Oversee reception duties, including visitor registration and providing general information
- Organize meeting spaces and office facilities
- Respond to the company’s general email inquiries
- Process incoming and outgoing postal mail
- Manage the company car fleet (contracts, fines, maintenance, fuel expenses) and serve as the main contact for users
- Support travel arrangements in line with corporate policies
- Handle general purchases for the work center (auxiliary materials)
- Act as the point of contact for auxiliary services (cleaning, maintenance, catering, etc.)
- Provide administrative support to the Site Manager
- Assist with organizing and supporting on-site events
Required Qualifications
- High school diploma or equivalent
- Minimum of 2 years of experience in a similar administrative or office services role.
Skills and Competencies
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Strong written and verbal communication skills in English and Spanish
- Ability to work independently and manage multiple tasks effectively
- Excellent prioritization and organizational skills
- High attention to detail
- Knowledge of the chemical/biopharma business is an advantage
