Job Description: Administrative & Credit Union Liaison (Ireland)
Location Ireland
Job Type: Full time Permanent
Remote role country-wide travel required.
Department: Patient Finance & Administration
Role Purpose
The Administrative & Credit Union Liaison is responsible for managing the financial and administrative "handshake" between Irish patients, their local Credit Unions, and Healthcare Abroad. This role ensures that patients have the necessary funding in place for their surgery in Spain and that all documentation required for Credit Union loan approval and HSE reimbursement is handled with 100% accuracy.
Core Responsibilities
Credit Union & Finance Management
Liaise with your HCA manager to coordinate patient contact with the relevant credit union and the assigned loans officer. Prepare all required documentation and ensure the credit union has received everything needed. Support the patient in understanding the full process and clearly outline what documents they, and we, require from the credit union following loan approval.
Funding Tracking Work with the patient to monitor the progress of their loan application, ensuring all documentation is complete and submitted correctly. Maintain clear oversight of each stage and follow up where necessary.
Payment Reconciliation Collaborate with your HCA manager to confirm that all financial documentation has been collected, verified, and uploaded to the patient file.
HSE & Cross-Border Compliance
Prior Notification Support: Assist patients in filing the necessary "Prior Notification" or "HSE Cross-Border Directive" paperwork before travel.
File Integrity: Cross-reference patient medical histories with GP referrals to ensure the clinical "need" for the procedure is clearly documented for HSE audit.
Post-Travel Handover: Ensure all Spanish hospital invoices and discharge summaries are translated and formatted to meet Irish HSE reimbursement standards.
Regional GP & Patient Administration
GP Correspondence: Support the Irish GP Coordinator and other areas of administrative duties as per business needs.
Required Skills & Competencies
Technical & Professional Skills
Systems Proficiency: Experience with CRM software (Zoho preferred), Zadarma telephony, Microsoft outlook and Microsoft package suite.
Financial Literacy: Understanding of Irish Credit Union operations and basic loan application processes.
Medical Admin Knowledge: Familiarity with the HSE Cross-Border Healthcare Directive or general Irish healthcare administration.
Accuracy: Meticulous attention to detail to avoid file rejection by the HSE.
Soft Skills
Stakeholder Diplomacy: Ability to persist and follow up with external parties (GPs and Credit Unions) to move a patient's journey forward.
Patient Empathy & Guidance: Providing reassurance to patients who may be anxious about their of their surgery and guide them through the administrative process.
Cross-Border Collaboration: Working seamlessly with the Spanish team (Valencia/Denia/Barcelona) to synchronize financial and clinical timelines.
