Description
This role will focus on supporting our Engineering team in Barcelona and their Director, while also collaborating closely with a broader team of Administrative Assistants to contribute to larger initiatives across Services. You will serve as the primary point of contact for Facilities, Real Estate, Global Security, and other Apple corporate departments, reporting to the Apple Services Engineering Admin Team Manager.
Responsibilities
- Organize internal and external events, including executive visits and local team offsites.
- Act as a liaison with cross-functional teams such as Facilities, Reception, EHS, and IT/IS&T.;
- Maintain office space standards and manage building access and security protocols.
- Support shipping and receiving, ensuring compliance with local regulations.
- Manage day-to-day office operations including ordering equipment, office supplies, and snacks.
- Communicate effectively with clear and concise detail.
- Manage calendars and schedule meetings across multiple time zones, both in-person and virtually.
Book and maintain complex travel schedules, domestic and international, and process expense reports as needed Ensure a high level of discretion when handling sensitive and confidential information.

Minimum Qualifications
- 5 years of experience in administrative or executive assistant roles within fast-paced and dynamic environments.
- High level of integrity and discretion in handling confidential information and integrity in dealing with people at all levels is imperative.
- Ability to work independently, handle frequently changing needs and delegate when required.
- Successful in a team environment and build effective working relationships inside and outside the group is crucial.
- Experience in heavy calendar management while scheduling key meetings and events while prioritizing a Director’s calendar including managing room reservations and catering at the site.
- Experience using a Mac, as well as with Keynote, Numbers, Pages, Excel, Word, and other productivity tools.
Preferred Qualifications
- Familiarity with shipping/receiving processes and local compliance requirements.
- Strong written and verbal communication skills.
- Ability to stay calm, organized, and solution-oriented under pressure.
- Experience with document and database management systems.
- Effective multitasker, able to juggle multiple responsibilities efficiently.
