The Administrative Assistant will support our administrative staff with clerical and reception duties. This role offers an exciting opportunity to gain experience in the luxury goods industry while applying your administrative skills.
What You’ll Do
Core Responsibilities:
* Client Communication: Handling client calls, following up via phone, text, and email
* Creating and Managing Client Appointments: Coordinating schedules and confirming appointments daily
* Data Management: Updating client information, including personal and purchase details
* Front Desk Duties: Greeting clients, assisting them, and maintaining a welcoming environment
* Invoice Collection and Preparation: Managing invoices, payment calendars, tax filings, and monthly reports
Administrative and Office Support:
* Jewelry Stocking
* International Shipments: Coordinating logistics and tracking
Administrative and Operational Responsibilities:
* Office Operations: Managing supplies, maintenance, and vendor liaising
* Scheduling and Coordination: Managing calendars, meetings, travel, and event planning
* Document Management: Organizing and maintaining important documents and sensitive information
* Budgeting and Procurement: Tracking expenses, approving purchases, and managing reports
* Internal Communication: Facilitating communication between departments and external partners
* Administrative Support: Preparing reports, presentations, handling correspondence, and supporting projects

What You Have
* At least 5 years of experience in a fast-paced, deadline-driven environment
* 3-5 years of administrative experience
* Background in the luxury goods industry preferred
* Excellent interpersonal skills for building relationships
* Experience with export and international shipments preferred
* Strong skills in Microsoft Office, ERP, CRM; other relevant applications a plus
* Fluency in English and Spanish, both spoken and written; interview conducted in English
* The working hours are Monday through Friday, 9:30 AM - 6:30 PM.
