OVERVIEW
We are looking for a highly motivated and versatile Finance and Administrative Specialist to join our growing team. Working in direct dependency of the Managing Partner and in close collaboration with the Partners, you will have a truly cross-functional impact on the organization.
The ideal candidate has a hybrid profile: highly analytical and strategic, yet humble and agile enough to execute meticulous routine tasks with excellence. This position requires a professional of absolute trust, discretion, and a high level of confidentiality.
KEY RESPONSIBILITIES
1. Financial Control & Treasury Management
* Drive the company's financial planning, budget control, and forecasting processes.
* Manage cash flow, liquidity, and payment planning to ensure operational continuity.
* Oversee international invoicing, accounts receivable, and collections across our 3 operational regions.
* Coordinate with external accountants and tax advisors to ensure compliance and optimize international costs.
* Monitor corporate banking platforms, FX operations, and investment accounts (including stock market monitoring via IBKR).
* Prepare reliable financial reports, P&L statements, and strategic forecasts for shareholder and partner meetings.
* Participate and assist the investment committee in selecting stocks, bonds and ETFs.
2. Strategy & Process Optimization
* Support partners and team leaders from conception to execution on cross-departmental strategic initiatives.
* Analyze current workflows and implement automation tools to maximize operational efficiency and productivity.
* Improve data-driven decision-making by tracking company-wide KPIs and building advanced reporting dashboards.
* Coordinate the deployment, integration, and continuous improvement of internal digital tools.
3. HR Administration & Operational Support
* Supervise payroll management, administrative HR processes, contracts, and legal documentation through corporate platforms.
* Manage vendor relationships, procurement control, and alignment with approved budgets.
* Lead, mentor, and supervise 1 direct report within the department (Finance & Admin Intern).
* Support the tracking, preparation, and presentation of public grants and subsidy bidding processes.
* Provide high-level operational and governance support to regional partners during strategic alignments.
REQUIREMENTS
1. Experience: 2–3 years of experience in corporate finance, financial controlling, auditing (Big 4 background is highly valued), or business operations.
2. Languages: Full professional proficiency / Bilingual in both Spanish and English (essential for international communication and client/subsidiary contact).
3. Technical Skills & Tools:
* Advanced command of Microsoft Excel and financial reporting models.
* Proficiency with Cloud ERP & Invoicing systems ( Holded ).
* Experience with Applicant Tracking Systems / CRMs ( Recruit CRM ).
* Experience with HR & Payroll platforms ( Factorial ).
* Familiarity with Business Intelligence tools ( Power BI ) and investment platforms ( IBKR ).
