Job SummaryWe are seeking a proactive and organized Administrative Assistant to support our Madrid office operations. The ideal candidate will ensure efficient daily administrative functioning, handle office coordination tasks, and provide professional support to team members. This role requires excellent communication skills, attention to detail, and the ability to work in a dynamic environment.
Key Responsibilities
Manage general office administration, including correspondence, filing, and documentation.
Coordinate meetings, appointments, and business travel arrangements.
Assist in organizing office events, workshops, and team activities.
Maintain office supplies and equipment, and liaise with vendors as needed.
Support basic financial tasks such as expense reporting and invoice processing.
Serve as the first point of contact for visitors and external partners.
Help onboard new employees and ensure a smooth office onboarding process.
Collaborate with HR and other departments on administrative projects.
Qualifications
Proven experience in an administrative role, preferably in an international setting.
Fluency in Spanish and English (minimum B2 level in English).
Knowledge of local administrative practices in Spain is an advantage.
Right to work in Spain.
