We are seeking a highly organised and proactive Office Administrator to oversee the day-to-day operations of our office and provide essential administrative support across HR and finance functions.

This role is pivotal to ensuring smooth office functioning, supporting internal teams, and maintaining vendor and supplier relationships. The Office Administrator will report directly to the General Manager.

REQUIREMENTS

* A diploma or degree in Business Administration, Human Resources, or a related field is preferred.
* 4+ years of experience in an administrative or office support role.
* Proven experience in office administration, HR support, or similar roles.
* Strong organisational and time management skills with attention to detail.
* Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office management tools.
* Excellent communication and interpersonal skills.
* Ability to handle sensitive information with confidentiality.
* Familiarity with invoice management and vendor coordination is an asset.
* Basic English required, proficiency a plus

KEY RESPONSIBILITIES

Office Management

* Oversee the general day-to-day operations of the office to ensure a well-functioning and productive work environment.
* Ensure health & safety regulations are adhered to
* Manage office supplies, equipment, and service contracts with local vendors and suppliers.
* Develop and implement office SOP as required
* Serve as the first point of contact for internal and external office-related inquiries.
* Coordinate office maintenance and liaise with building management as required.

Administrative Support

* Maintain and update filing systems, contact lists, and internal documentation.
* Schedule meetings, book travel, and coordinate logistics for events and internal activities.
* Support onboarding and offboarding processes for employees.

HR & Finance Administration

* Assist with basic HR processes, including timesheet collection, leave tracking, and employee record maintenance.
* Handling the creation and coordination of employment and termination contracts, as well as related paperwork, including registration, deregistration
* Assist in CV collection and interview process coordination and management
* Responsible for the execution of all HR administrative tasks and providing support to the HR team in various operational areas
* Support financial operations by uploading invoices, tracking payments, and ensuring timely submission to accounting.
* Liaise with local suppliers and service providers and internal stakeholders to ensure contracts and payments are up to date.
* Provide administrative support for expense tracking, petty cash, and procurement processes.
* All other activities according to the Supervisor's request in behalf of job position requirements
