Missions:
The Operations Assistant is responsible for coordinating logistics and providing administrative and operational support for the company’s activities.
In a small-to-medium-sized enterprise (SME) with a strong international focus, this role requires versatility, responsiveness, strong organizational skills, and excellent intercultural communication skills.
Key Responsibilities:
1. Logistics Coordination
Organize domestic and international shipments.
Coordinate transportation with freight forwarders and logistics partners.
Prepare shipping documents:
Packing lists
Commercial or pro forma invoices
Customs documents
Certificates of origin
Track deliveries and manage any delays or incidents.
Maintain proactive communication with customers, suppliers, and carriers.
Ensure compliance with deadlines and import/export procedures.
2. Operational & Administrative Support
Help monitor inventory and operational needs.
Prepare operational reports and tracking spreadsheets.
Assist with general company administration.
Support the Operations Manager with daily tasks.
3. Purchasing Support
Assist with tracking purchase orders, order confirmations, and delivery times.
Assist with researching and evaluating international suppliers.
Handle the administrative tracking of contracts and supplier documents.
4. Cross-functional responsibilities
Update databases, ERP systems (SAP, Odoo), and tracking spreadsheets.
Contribute to continuous improvement.
Desired profile:
Education level required Bachelor’s degree in:

Experience required:
Previous experience in a similar role is required, ideally at an SME.
Experience in international logistics is required.
Experience in an international environment or at an SME is a significant asset.
