We are looking for an Event Coordinator Assistant to support our premium retreat business. In this role, you will work closely with the retreat lead and assist manage all aspects of our retreat operations, from participant onboarding to event coordination and customer communications. This is an exciting opportunity to be part of a fast-growing wellness retreat business with premium clientele, where you can develop your skills and grow into a more independent role over time.


You will support the planning and coordination of luxury retreats, ensuring that everything runs smoothly, while providing excellent service to our high-end participants. We are seeking someone highly organized, service-oriented, and eager to develop into a leadership role in the future.


Responsibilities:


1) Online and onsite event coordination, including retreat planning, budget management, vendor relations, production and design oversight, on-site coordination, and team and client support throughout the retreat. Frequent travel is part of this role (e.g. every month, 5 days)


2) Sales support and client communication: Assist with handling client inquiries and follow-ups, and manage participant onboarding, including forms, payments, and communication before, during, and after the retreat. Maintain professional communication with retreat participants, ensuring a top-tier experience that aligns with the brand’s positioning.


3) Administrative work such as updating databases, researching new venues and vendors, supporting public relations and social media initiatives, managing sponsors, and assisting the team with other daily tasks.


Requirements:

* Strong service-mentality (very customer focused)
* 1-2 years of experience in event coordination, customer service, or hospitality roles.
* Fluent or bilingual in English (both spoken and written); Spanish is a plus.
* Strong organizational skills and the ability to manage multiple tasks at once.
* Excellent communication skills, with a high level of professionalism and customer service.
* Strong time-management skills in a remote work environment to ensure efficient results
* Located in Spain (being in Madrid or Barcelona is a plus!)
* Frequent travel is part of this role. It involves trips of up to 5 days at least once per month to locations in Spain, Portugal, and the UK. Occasional shorter trips for venue visits and vendor meetings may also be required.


Preferred Qualifications:

* Previous experience in hospitality.
* Familiarity with basic office tools (Google Workspace, Microsoft Office, Canva etc).
* A proactive attitude with a passion for event coordination and delivering exceptional customer experiences.


What we offer
* Salary: €20,000 – €25,000 gross per year (salario bruto anual) depending on experience
* Indefinite, full time contract
* Frequent travel to beautiful retreat locations in Spain, Portugal, and the UK
