**The Role**
We are seeking a dynamic and creative **Secondary School Administrator** to deliver high-quality administrative and operational support to the Secondary School, including senior and middle leadership, teachers, students, administrative teams. This role ensures the smooth day-to-day functioning of the Secondary School, supporting key school processes (Academic records, IB Programmes, Student Wellbeing and School activities), and contributes to maintaining a supportive, organized, and responsive learning environment.
**Key Responsibilities**
**1. Academic Records and Transcripts**:
- Prepare, manage, and issue official academic records such as: School reports, Transcripts, Enrolment certificates, Apostilles and homologations
- Coordinate GPA and CGPA calculations in collaboration with University Counsellors.
- Liaise with external educational bodies for academic validation processes.
- Ensure accuracy and timely uploading of MAP and other external assessment data.
- Support students, parents, and staff with transcript and certification requests.
**2. IB Administration**
Professional Development:
- Register DP/MYP teachers for IB PD through the IB website after approval is given
- Liaise with relevant colleagues to arrange travel and accommodation for PD
- Organise Travel arrangements for Professional development
Budget and Accounts Liaison
- Process Budget Approval Forms for IB
- Liaise with accounts department to ensure payment for all IB Expenses
Communication
- Support production and dissemination of material on the DP and MYP for teachers, parents and students
- Liaise with Admissions on communication with new and prospective parents
IB Programme Resources
- Collaborate with the DP/MYP coordinator to order scripts from past exams
- Order past papers from the IB
- liaising with accounts department
Events
- Supporting IB Events
- e.g. Options and Information evenings
Examination Invigilation
- Support the MYP Coordinator in the administration of the MYP examinations, including mock exams preparation as directed by the coordinator.
**3. Support to Grade Level Leaders**:
- Daily checking of attendance registers
- Running reports of daily attendance data for GLLs and cross referencing between iSams and MB
- Clerical support for Grade Level leaders
**4. Trips, Events and Activities Coordination**:
- Support the Trips Manager and Trip Leaders by providing clerical support for Outdoor Learning Days, trips and Expeditions
- Support the planning and execution of key secondary school events including: Parent-Teacher Conferences, Graduation, Assemblies and Performances
- University degree in Administration, Education, Communication, or a related field.
- Further training in school systems, data protection, or education administration is a plus.
- Evidence of personal commitment to continuing professional development
- Minimum 2-3 years in a school setting, preferably in an international school.
- Experience supporting teachers, handling confidential data, and working in multi-stakeholder environments.
**Skills & Attributes**
- Excellent organizational and multitasking skills.
- Strong written and verbal communication in English (Spanish is highly desirable).
- Proficiency in Microsoft Office, and school platforms (e.g., ManageBac, Isams) etc.
- Strong interpersonal skills and a service-oriented attitude.
