To grow our new Global IT Hub in Barcelona, we are currently looking for an Administrative Assistant and Events Coordinator.
POSITION SUMMARY
The successful candidate must possess the ability to support the Global IT Hub Manager as well as other members of the team. We are looking for a dynamic, flexible, service-oriented, open-minded, and extremely organized person to work in a diverse an international environment. You will also help us achieve organizational efficiency by nurturing a positive, inclusive work environment and culture.
As an Admin assistant and Event coordinator, you will be responsible for running and coordinating the day-to-day office activities and managing Hub related events and transversal projects meeting deadlines in a fast-paced quickly changing environment. You need to have initiative-taking approach to problem-solving with strong decision-making skills.
You will be responsible for providing office support to the Global IT Hub, which would include the following items:
* Run the day-to-day office activities as the main point of contact for the teams.
* Ensure office efficiency by maintaining common areas, organizing procedures, implementing policies, and overseeing supplies and equipment.
* Coordinate all activities to support a smooth onboarding of new hires and departures of team members in collaboration with the different stakeholders (HR, local IT and other internal stakeholders).
* Coordinates transversal Hub projects meeting deadlines in a fast-paced quickly changing environment (attraction of new talent, branding, facilities, capability building).
* Take ownership of the Hub documentation, making executive decisions about what should go in it and making sure it is up to date.
* Organize logistic and set up of external or internal workshops/events/seminars/Markets’ visits.
ARE YOU A FIT?
* Bachelor or master’s degree in Business Administration or similar.
* 4+ years of experience in administrative roles in an international environment.
* Previous experience in project management.
* Strong verbal and written communication skills in English and Spanish.
* Effective communication skills and strong stakeholders’ management.
* High organizational and multitasking skills, being able to prioritize and adapt to changing priorities.
* Self-motivated and positive attitude.
