This role will support the IDM Business Finance Vice President, the Spain Finance Lead, and the Western Cluster Finance Lead, along with their respective teams. It will also involve active participation in supporting finance IDM activities and initiatives.
A minimum of three years of senior secretarial experience is required.
The ideal candidate is self-motivated, proactive, adaptable in a dynamic environment, and possesses excellent communication skills. The role requires high organization, efficiency, and a commitment to high standards. Proficiency in Microsoft PowerPoint, Teams, and Excel is essential. The candidate should be a team player, flexible, and capable of collaborating with other assistants to ensure coverage during absences.
Core functions of the role :
1. Plan, organize, and prioritize administrative support for managers and teams, ensuring workload is evenly distributed.
2. Serve as the first point of contact for internal and external queries, ensuring effective communication.
3. Manage scheduling of meetings and conferences, including coordinating travel arrangements and meeting logistics.
4. Coordinate agendas for senior leaders and collaborate with other administrative staff across regions and departments to streamline workflows.
5. Handle travel bookings, hotel reservations, and expense reports for the team.
6. Support planning and execution of ad-hoc projects, initiatives, and events such as quarterly meetings and team sessions.
7. Maintain and update internal communication channels and distribution lists.
8. Proactively anticipate needs and address issues to ensure smooth operations.
9. Monitor official government notifications relevant to Spain and inform colleagues as necessary.
Qualifications - Skills Required
1. At least three years of senior-level secretarial or administrative experience.
2. Strong planning and organizational skills.
3. Ability to prioritize and manage multiple projects efficiently.
4. Proficiency in electronic record management, communication tools, and Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint), including WebEx.
5. Willingness to learn new technologies to enhance productivity, such as MS Copilot.
6. Adherence to company policies, SOPs, and Pfizer values.
7. Excellent collaboration skills and ability to thrive in a fast-paced, matrixed environment.
