VHIR offers a vacant position for a Secretary Admin Assistant, to provide administrative and secretarial support to the Directors' Area, in accordance with the values and goals of the institution.
Education and qualifications:
Required:
* Preferably studies in Business Administration or similar, either degree or advanced vocational training (CFGS / FPII).
* Proficiency in Spanish and Catalan (C2) and fluent in English (B2 / C1).
Experience and knowledge:
Required:
* At least 5 years of experience performing similar tasks, preferably in medium or large organizations. Experience as an office assistant is valuable but not essential.
* Advanced knowledge of Office Package and main email and internet tools.
* Excellent internal and external customer service skills.
* Strong commitment, proactivity, teamwork, discretion.
* Excellent communication, interpersonal, time management, organizational, and problem-solving skills.
* Ability to prioritize tasks amidst workloads.
Main responsibilities and duties:
* Managing Directors' schedules and agendas proficiently.
* Providing professional telephone assistance and communication.
* Creating and designing high-quality presentations.
* Preparing and organizing documentation for meetings and events.
* Planning and coordinating travel arrangements.
* Managing contacts database efficiently.
* Maintaining physical and digital archives.
* Providing administrative support.
* Executing additional tasks as assigned by Directors.
Labour conditions:
* Full-time position: 40h/week.
* Gross annual salary: Remuneration depends on experience and skills. Salary ranges are aligned with our Collective Agreement pay scale.
* Contract: Six-month interim with the possibility of a permanent role upon successful completion.
