Role Summary
The Administrative Assistant, GH&B International Commercial is responsible for providing administrative and organizational support to the Head of GH&B International Commercial and leadership team, including but not limited to efficient calendar management, travel arrangements, preparation for and set‑up of team meetings, and preparation and distribution of presentations and other materials.
Role Responsibilities
* Prioritize and manage key administrative duties in an efficient and timely manner, including expense reports, SOW submissions, meetings/calendar management, and travel arrangements.
* Handle correspondence/documents of confidential nature and, where appropriate, respond to, create, compose and/or edit written materials and/or e‑mail responses.
* Proactively coordinate leadership and team meetings, prepare and edit meeting agendas, minutes & action items, reports and presentations using Microsoft Office software and other tools such as MS Teams.
* Exercise sound judgment in anticipating priorities and potential conflicts to ensure deadlines are met and leaders are properly prepared.
* Provide support managing calendars, scheduling high‑level, time‑sensitive meetings, managing travel arrangements, and completing expense reports.
* May serve as backup to Executive Assistant to President, GH&B.
* Complete quality work on a timely basis, using judgment to identify most urgent issues and work to resolve them.

Basic Qualifications
* 3+ years’ experience of providing administrative support to senior leaders.
* Excellent communication and collaboration skills.
* Ability to execute initiatives in a timely manner with high quality.
* Demonstrated resourcefulness with proven ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative.
* Ability to work well both in a team environment and operate independently with minimal supervision; independent, proactive and anticipates needs.
* Ability and professional demeanor to interface with senior management and exhibit good judgment in handling confidential information.
* Excellent attention to detail and proofreading skills.
* Proficiency in MS Teams, Word, Excel, PowerPoint, and Outlook is essential.
* Adept at learning new technologies and tools.
