The Assistant will provide high-level support to a team of Investment Professionals throughout PIMCO Munich with their duties to include but not limited to :
Proactively planning schedules and itineraries to take into account multiple time zones and conflicting calendarsExtensive diary management, answering telephone calls and responding to ad hoc requests.Coordination of extensive travel bookings :
flights, trains, visas and hotel accommodation. Ensuring that the traveller has all relevant information required and receive the necessary approvalsExpense processing using ConcurResearch and other special projects as assigned by Investment ProfessionalsMaintenance of the CRM database, maintaining contacts in a consistent format – proactively organizing and maintaining a good information retrieval systemPoint of contact :
meet and greet clients and visitors as well as screening and redirecting telephone calls, responding on the IP’ behalf as requiredMeeting preparation :
ensure the managers are fully briefed for all meetings with the relevant correspondence / paperwork. Open Zoom calls / meetings and ensure meeting rooms are prepared ahead of scheduleAd hoc projects to meet with the demands of the businessRequirements :
This position requires a highly organized and flexible individual to work in a fast-paced environment managing a consistent high volume of work. Please submit CVs in English.Fluency in German and English is essential for this roleExperience of working in a fast paced, global environmentKnowledge of the financial services sector with a clear understanding of the industry preferableTime-keeping and flexibilityExcellent attention to detailStrong communication skills, both verbal and writtenAbility to prioritize tasks and workloadAbility to work effectively with senior executivesStrong project and time management skillsPositive, proactive approach with the ability to work in a professional mannerPossess the ability to think outside the box, being one step ahead whilst working collaborativelyAct as back-up to other assistants in times of absencesWork discretely, professionally and calmlyAdvanced-level skills in Microsoft Outlook, Word and ExcelKnowledge of Concur and CRM preferable
