- Job ResponsibilitiesMission: Enable senior leadership to operate efficiently by providing proactive, high-level administrative support while ensuring smooth office operations, resource management, and a welcoming environment for employees and visitors.
**Executive Calendar Management**: Proactively manage and prioritize complex calendars for Vice Presidents, including scheduling meetings across multiple time zones and resolving conflicts.
**Travel & Logistics Coordination**: Plan and organize domestic and international travel itineraries, including flights, accommodations, ground transportation, and visa arrangements.
**Expense Management**: Prepare, review, and reconcile expense reports for senior leadership, ensuring compliance with company policies and timely submission.
**Meeting & Event Coordination**: Organize high-level meetings, leadership offsites, and internal events, including agenda preparation, materials distribution, and follow-up actions.
**Confidential Document Handling**: Draft, proofread, and manage sensitive documents and presentations with a high degree of confidentiality and accuracy.
**Stakeholder Liaison**: Act as a point of contact between senior leadership and internal/external stakeholders, ensuring effective communication and timely responses.
**Office Operations Oversight**: Manage front desk activities, office supplies, and ensure a welcoming environment for employees and visitors.
**Access & Compliance Management**: Handle access control, time & attendance systems, badge management, and compliance checks.
**Vendor & Contract Oversight**: Coordinate HR and administrative vendors, ensuring service quality and timely issue resolution.
**Fleet & Facility Management**: Administer company fleet documentation, maintenance scheduling, and related administrative tasks.
**Process Improvement**: Identify opportunities to streamline administrative and office processes and implement best practices for efficiency.
- Job Requirements**Proven Experience**: Minimum 5 years in executive assistant or senior administrative roles supporting C-level or VP-level executives, with office management responsibilities.**Technical Skills**: Advanced proficiency in MS Office Suite (Excel, PowerPoint, Outlook) and familiarity with expense and travel management systems (e.g., Concur, SAP).**Languages**: Fluent in Spanish and English; additional languages are a plus.**Soft Skills**: Exceptional organizational skills, discretion, and ability to handle confidential information.
