The position of a Personnel Clerk will be available immediately at East Central ISD. All individuals (district employees included) who are interested in this position must apply online through Frontline via the district website. PRIMARY PURPOSE: Under moderate supervision, respond to inquiries from staff, students, parents, and the public; provide requested information and/or referrals to the appropriate parties; direct visitors, and provide general clerical support for the efficient operation of the Personnel department.
DUTIES AND RESPONSIBILITIES:
1. Receive incoming inquiries, take messages, greet visitors, assist individuals with online applications, and direct them to the appropriate source of information.
2. File, label, shred, assemble and manage all active and inactive employee files (electronic and hard copy) and maintain Personnel file room.
3. Assist Personnel Coordinator in ensuring all new employee files are accurate, complete, and up to date.
4. Process outgoing personnel records requests and incoming personnel documents via the department email.
5. Support Personnel Department by assisting with maintenance of ECM Today, Frontline System and Strive (Eduphoria).
6. Upload fingerprint information to TEA for all new employees, send corresponding emails, and follow up on fingerprint status.
7. Prepare onboarding packets, make copies of materials, reserve and set up rooms for onboarding sessions.
8. Call and/or send onboarding reminders to applicants before their appointment date.
9. Design and assemble job fair kits for district job fairs, ensuring all materials align with event requirements.
10. Prepare residency kits for university events and campus visits.
11. Manage and update the district's Indeed page.
12. Assist with maintaining an HR information database to ensure employee records are accurate, up to date, and reliable.
13. Assist with DPS subscriptions.
14. Attend trainings and meetings as needed.
15. Provide quality customer service and professional courtesy across all functions and capacities.
16. Receive deliveries and disseminate materials and information to the appropriate parties.
17. Ensure confidentiality of files and all other matters pertaining to the Personnel Office.
18. Follow district safety protocols and emergency procedures.
19. Perform other duties as assigned.

MINIMUM QUALIFICATIONS:
Education/Certification:
High School graduate or equivalent
Special Knowledge/Skills:
Ability to operate a multi-line phone system
Effective public relations, organization, communication, and interpersonal skills
Ability to speak, read, and understand English
Ability to understand and follow detailed written and verbal instructions
Ability to effectively present information in one-on-one situations
Proficient in keyboarding, 10-key numerical data entry, and file maintenance
Bilingual preferred
Experience:
3 years of clerical experience in an office setting
EQUIPMENT USED: Standard office equipment including personal computer, and peripherals; multi-line phone system
WORKING CONDITIONS: Mental Demands/Physical Demands/Environmental Factors: Work with frequent interruptions; maintain emotional control under stress. Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting. Repetitive hand motions including frequent keyboarding and use of a mouse; occasional reaching; occasional light lifting and carrying (less than 15 pounds). May work prolonged or irregular hours; occasional district wide travel.
