About this opportunity
The Company Car Fleet management involves many different aspects, including management of more than 400 (operational lease) company cars, deployed in more than 20 countries, requiring analysis, reporting, budgeting, negotiating, and business partnering. As the Company Car Fleet Manager, you will perform cost and data analysis, identify resources/ways to reduce operating expenses and carbon footprint impacts, and handle the negotiation of contractual terms. You will have close partnership and interaction with (senior) management, influencing business partners, and independent judgment are key for success performing in this newly created role.
In this role, you will…
1. Own EMEA’s company car policy, respective country addenda, and any required (employee) communication in close collaboration with regional/local HR.
2. Develop and maintain a fleet strategy, assess the performance, cost and suitability of vehicles and plan for future requirements, to ensure the fleet meets the needs, both now and in the future.
3. Ensure the fleet is operating in accordance with local (tax) legislation and regulation in close partnership with HR Operations and Payroll.
4. Manage the company car vendor in all its aspects including but not limited to following a predefined (reporting) process, setting clear and achievable (annual) goals/KPIs, and monitoring its performance/competitiveness.
5. Manage ongoing cost control, actively seek to improve efficiency, and reduce fleet related costs.
6. Maintain, manage, and demonstrate improvement in Fleet Monthly KPI’s - suitable actions taken where issues identified.
7. Partner with and assist local office management with any query as needed/requested.
8. Ensure there’s an effective and efficient (local) vehicle (online) ordering and approval process in place.
9. Ensure all health and safety obligations are met, and policies are adhered to.
10. Report any safety concerns, hazard observations, accidents, and incidents in a timely manner to allow full investigation and prevent re-occurrence.
11. Continue the company’s transition from combustion engine to electric vehicles (or EVs) in close partnership with vendor and local HR.
12. Conduct EMEA-wide fleet ongoing analysis on damages, insurance, mileage, fuel consumption, contract duration, and for instance claims processing. Identify issues, room for improvement, and/or optimization opportunities.
13. Audit regional monthly invoicing in partnership with Finance/local office management.
14. Approve/sign off any new vehicle request or quote prior to ordering.
15. Vehicle pool management - ensure vehicles are re-deployed shortly after an employee’s or driver’s departure.
16. Conduct training in close partnership with vendor on driver liability, traffic safety, and e.g. environment conscious driving. Measure impact through quarterly reporting.
17. Ensure Align’s company car provision/practice continues to be (locally) competitive; benchmark annually including provision practices, brands/models, lease budgets and/or car allowances.
18. Perform other related tasks as deemed appropriate.
In this role, you’ll need …
Bachelor’s degree in logistics, business administration, automotive technology, or another relevant field. 5+ years’ regional/multi-country fleet management experience, preferably gained in a multinational or international company. Experience in creating and establishing fleet policies and procedures. Understand and track total cost of ownership (TCO). Ability to negotiate to achieve best value. Well organized, and willing to learn and develop.
