Intellectual Property : Seprotec’ s Intellectual Property Business Unit offers a comprehensive range of professional IP solutions to corporations and law firms that streamline IP operations, assisting clients with every patent or trademark issue, in any jurisdiction and any language and on a proprietary platform.
We’re currently looking for an IP Vendor Manager to join our team in Madrid .
Your main tasks will include :
* Oversee and maintain relationships with IP service vendors (e.g., annuity providers, agents, search firms).
* Evaluate vendor performance and ensure compliance with SLAs and internal quality standards.
* Negotiate and monitor contracts, terms, and pricing with external providers.
* Act as the primary liaison between the IP team and external vendors.
* Support the Sales Department by identifying and selecting suitable vendors according to client or tender specifications.
* Ensure strict confidentiality of vendor and project-related data.
* Communicate with vendors primarily via email and phone (mostly in English).
* Support audits, risk assessments, and vendor compliance processes.
* Maintain the day-to-day operations of the IP management system
* Ensure accurate data entry, maintenance, and reporting for IP portfolios.
* Coordinate updates, troubleshooting, and upgrades with internal IT and platform providers.
* Support patent, trademark, and design filings, prosecution, renewals, and docketing.
* Coordinate with attorneys and agents on filings and office actions globally.
* Prepare and review formal documents, power of attorney forms, and declarations.
Requirements :
* Experience as an IP Paralegal is highly valuable.
* Strong knowledge of global IP procedures, deadlines, and documentation.
* Experience managing or working closely with IP management platforms.
* Proven experience coordinating and negotiating with external vendors.
* Excellent communication and organizational skills.
* Detail-oriented with the ability to manage multiple tasks and priorities.
* Proficiency in IP software tools and Microsoft Office suite.
* Proficiency in English; additional languages are an asset
