We are now looking for a P&O Administration Coordinator to join our Operating Unit and help deliver smooth, compliant, and high‑quality people operations across our clinics.
You will be part of an Operating Unit supporting a group of clinics, working closely with clinic managers, P&O Business Partners, Payroll, and central P&O administration.
This role requires attention to detail, confidentiality, and a strong sense of service.
About the Role
The P&O Administration Coordinator supports the entire associate lifecycle, ensuring accurate and timely execution of core administrative processes.
From onboarding to documentation, systems updates, and compliance, this role is key to providing an excellent associate experience and ensuring our clinics run efficiently every day.
What You’ll Do
In this role, you will:
* Coordinate administrative tasks across hiring, onboarding, contract changes, and exits.
* Maintain accurate records in systems such as Workday and Quinyx.
* Support time & attendance processes, absence tracking, and documentation compliance.
* Collaborate with Payroll on updates and changes.
* Create and manage employment documentation (contracts, forms, exit paperwork).
* Assist with local learning administration and training recordkeeping.
* Ensure adherence to local labor laws and GDPR.
* Serve as the point of contact for P&O admin queries from associates and managers.
* Work with central P&O and Legal on documentation and policy matters.
* Prepare reports and perform monthly audits to ensure data accuracy.
What You Bring
* 2+ years of experience in an administrative or P&O support role, preferably in a healthcare or service environment
* Proficient in Microsoft Office (especially Excel, Outlook, Word); experience with P&OIS systems such as Workday preferred
* Proficient in local language; Proficient level of English and Portuguese
* High attention to detail and ability to manage confidential data.
