Overview
The Vendor Manager (VM) is responsible for establishing and managing project supplier and vendor scope, timelines, and costs for awarded opportunities throughout the project life cycle, including the execution of work orders and change orders. Additionally, the VM will ensure ongoing operational and financial oversight, and risk and issue management of vendors. The Vendor Manager acts as the project’s main point of contact for vendors and is a client-facing team member who works closely with the global project team to ensure the quality delivery of vendor services.
Qualifications and Profile
Education
* Bachelor’s degree in science or a relevant field.
Experience
* At least 3 years of experience in clinical research within the biotech, pharmaceutical, or CRO industry.
* Project management experience; PMP certification is an asset.
* Knowledge of good clinical practices and applicable regulations (Health Canada, FDA, EU CTR).
* Experience in dermatology, aesthetics, or rheumatology is an asset.

* Strong analytical skills to interpret KPIs and data.
Responsibilities
* Oversee and manage study-specific vendors throughout the project life cycle (start-up, conduct, closeout).
* Review vendor contracts, ensure study requirements are captured, and manage vendor contractual compliance. Prepare change orders for out-of-scope services.
* Manage and control vendor project budget, scope, and timelines in partnership with the Project Manager (PM).
* Collaborate with Indero SMEs to clarify specifications for vendors.
* Develop and maintain the project Vendor Management Plan with relevant stakeholders.
* Analyze discrepancies between planned and actual results; develop corrective actions as needed.
* Lead project-specific vendor meetings and participate in internal and client-facing project meetings.
* Manage vendor work quality and support vendor performance assessments.
* Perform ongoing risk management activities and facilitate issue resolution with vendors.
* Oversee vendor-specific non-conformance and CAPAs, consulting with Quality Assurance as needed.
* Resolve vendor, project team, and sponsor complaints and escalations.
* Maintain service controls by applying lessons learned and vendor performance assessments to meet project standards.
* Review and verify vendor invoices for appropriate billing based on work orders and change orders.
* Manage vendor technological systems tracking shipment, inventory, and project data.
* Collect, review, and analyze project-specific KPIs.
* Ensure timely and proper filing of vendor-related documents in study eTMF.
Other VMO Responsibilities
* Participate in functional and corporate initiatives and special projects.
* Assist in business development opportunities, such as strategy and bid defense meetings.
* Participate in vendor qualification and assessment processes.
* Serve as a backup for the VMO team during planned or unplanned absences.
