At Cellistic, we are driven by one mission: to harness the power of induced pluripotent stem cells (iPSC) to develop and manufacture therapies that significantly improve patient outcomes. We are looking for a Purchasing & Office Support Specialist to ensure the smooth day-to-day operations of our site.
This is a hands-on, dynamic role combining procurement, coordination, and front office support, idóneo for someone organised, proactive, and solution-oriented.
Your responsibilities
Purchasing & Supply Coordination
* Manage operational purchasing (consumables, raw materials, general items) via Oracle NetSuite
* Create, process, and follow up on Purchase Orders (POs)
* Monitor stock levels and manage recurring orders
* Track supplier performance (confirmations, lead times, deliveries) and proactively resolve delays
* Manage critical raw materials availability, including shortage anticipation and resolution
* Support backup sourcing and continuity of supply
* Contribute to supplier quality processes (e.g. VQR, supplier classification) in collaboration with QA
* Prepare weekly purchasing and PO tracking reports
* Coordinate with internal stakeholders (warehouse, supply chain, finance, QA)
Office & Front Desk Support
* Manage reception mailbox and physical mail (incoming/outgoing, registered mail)
* Welcome visitors and support site reception activities
* Maintain and organise purchasing and goods receipt documentation
* Keep procedures and administrative processes up to date
* Support maintenance of internal databases and administrative documentation (including Legal-related records)
* Act as point of contact for practical arrangements (taxis, hotels, local services) and coordinate catering, office supplies, and logistics for visitors and small events
Your profile
* Experience in operational purchasing, procurement support and/or administration
* Hands-on experience with an ERP system (NetSuite is a plus)
* Comfortable with supplier follow-up, delivery tracking, and issue resolution
* Highly organised, detail-oriented, and proactive
* Able to manage priorities in a fast-paced environment
* Used to handle sensitive and confidential information with the relevant level of discretion.
* Strong communication skills across teams and with external partners
* Fluent in French and English
* Available quickly or on short notice
