We are seeking a highly experienced and exceptionally organized Senior Team Assistant to join our luxury real estate firm. The candidate will have at least 6 years of proven experience in a similar role, with a fluent level of English.

This role is key to the smooth operation of the executive and sales teams, requiring a proactive, detail-oriented, and discreet professional who thrives in an international, client-facing setting.

Key Responsibilities

* Provide comprehensive administrative and organizational support to the executive and sales teams.

* Manage complex calendars, schedule high-level meetings, and coordinate internal and external appointments.

* Organize national and international travel arrangements, including flights, accommodations, and itineraries.

* Draft, review, and translate documents, presentations, reports, and correspondence in both English and Spanish.

* Assist with client relationship management by preparing briefings, following up on actions, and maintaining CRM systems.

* Coordinate luxury property viewings, events, and business meetings, ensuring every detail is aligned with the brand’s standards.

* Liaise with high-profile clients, legal teams, partners, and vendors, ensuring confidentiality and professionalism at all times.

* Oversee office supplies, invoice processing, and administrative budgets related to team activities.

* Implement organizational systems to streamline administrative processes and improve team efficiency.

Required Qualifications & Skills

* Minimum of 6 years of experience as an Executive Assistant, Team Assistant, or similar administrative role, preferably in luxury real estate, finance, or high-end services.

* Fluent or native-level English (C1-C2), both written and spoken; Spanish also required.

* Excellent organizational and multitasking skills with strong attention to detail.

* High level of discretion, integrity, and professional judgment.

* Advanced MS Office skills (Outlook, Word, PowerPoint, Excel); familiarity with CRM systems is a plus.

* Proactive, flexible, and capable of working independently and as part of a team.

* Strong interpersonal and communication skills; ability to interact with VIP clients and senior stakeholders.
