At The Talent Room, we help our clients find the talent their organizations need. We are currently collaborating with an important international company in the HealthTech / Medical Technology sector. We are looking for a Commercial Back Office profile to work across the European and East Asian markets (China–Hong Kong–Taiwan / South Korea / Japan / Vietnam).

Purpose of the Position

Provide comprehensive support to the Manager and the team in business development and operations with clients and partners in the assigned Asian markets, as well as in various European regions. The role ensures efficient administrative management, preparation of materials, opportunity follow-up, logistical coordination, and smooth communication between the company and stakeholders in Asia.


Functions and Responsibilities
1. Administrative Support

1. Manage subscriptions to media outlets, memberships, AI tools, and others.

2. Provide regular support and liaison with accounting managers for invoice delivery, system operations, etc.

3. Control documentation related to invoicing, collections and payments, guarantees, and legal compliance in international trade.

2. Commercial Support, Business Development, and Client Management

4. Support the preparation of presentations, charts, consulting reports, business plans, data packages, marketing materials, and more as needed.

5. Prepare and send commercial proposals, quotations, and technical sheets tailored to each client and market. Respond to requests for talks in public forums.

6. Analyse and segment potential clients, including the use of the manager’s LinkedIn database.

7. Keep client information updated in the CRM, including new accounts, contracts, legal documentation, and collaboration agreements.

8. Proactively follow up on business opportunities, tenders, or requests received from Asia.

9. Manage purchase orders, follow up on project and client deliverables, and handle international invoicing. As these are services, logistical/customs coordination is expected to be minimal.

10. Prepare periodic follow-up reports as required (project KPIs, ongoing opportunities, etc.).

Must-have:

11. Strong command of AI tools for converting and translating reports and documents into presentations and English versions.

12. Familiarity with Chinese WeChat for research purposes and potential interactions when needed.

13. Working language and client communication are entirely in English.

3. Research, Market Analysis, and Competitor Insights

14. Monitor trends in the Healthcare and Advanced Technologies sectors across the assigned EU > Asia markets.

15. Develop company profiles quickly and efficiently, with advanced use of internet and AI tools.

16. Segment key investors and funds active in Europe and East Asia within the Healthcare and Advanced Technologies sectors, as required.

17. Prepare reports for the commercial team and management.

4. International Communication and Multicultural Management

18. Act as the point of contact between Barcelona and stakeholders in EU > East Asia countries.

19. Coordinate delegations visiting Spain/Europe and vice versa. Occasional travel may be required.

20. Ensure cultural, time-zone, and protocol differences are properly integrated into commercial communication.

5. Support in Trade Fairs and Business Development Activities

21. Administrative and logistical management, as well as research support, for EU > Asia trade fairs and events, mainly in Biotech (BioChina, BioKorea, BioJapan, BioEquity Europe, Advanced Therapies Europe, China Medical Equipment Conference) and Robotics/Tech startups (HKTDC Hong Kong, European Robotics Forum, IEEE International Conference on Robotics and Automation).


Requirements

22. Experience in back office roles, preferably in healthtech, medical devices, biotech, or pharma.

23. Advanced English (C1). Chinese or Japanese will be valued.

24. Knowledge of documentation and regulations in the healthcare sector.

25. Proficiency in CRM, Microsoft 365 tools, AI tools, and reporting.

26. Organized, proactive, and culturally sensitive profile.
