Working Hours: Monday to Friday, 09:00 – 15:00
Location: Calahonda, Costa del Sol (In-Office)

As our business continues to grow, we are seeking a highly organized Back Office Administrator to join our team on a 6-month maternity cover contract, supporting our sales and after-sales operations.

About the Role:
This is a key in-office administrative role focused on supporting our agents and management team behind the scenes. Your work will help ensure that transactions run smoothly, documentation is accurate, and clients receive a professional experience from reservation through to completion.
This is not a sales role - it is a structured back-office position ideal for someone who thrives on organization, coordination, and accuracy.
KEY RESPONSIBILITIES:
Administrative & Back Office Support:
* Manage and update client and transaction data in our CRM (Pipedrive)
* Prepare and organize reservation documents, KYC forms, and transaction files
* Coordinate documents for e-signatures and proper record keeping
* Assist with invoicing and administrative finance coordination
* Maintain accurate internal records and compliance documentation
After-Sales Support:
* Support follow-ups with lawyers, developers, and partner agencies
* Help track transaction timelines from reservation to completion
* Ensure required documentation is collected and properly stored
* Assist in keeping transactions organized and on schedule
Office Coordination:
* Provide administrative support to the sales and management team
* Support internal communication and coordination
* Assist with general office tasks as required
WHAT WE LOOK FOR:
* Previous office administrative experience in Costa del Sol real estate (essential)
* Fluent English and Spanish (spoken and written)
* Highly organized with strong attention to detail
* Strong multitasking and prioritization skills
* Comfortable using CRMs and digital document tools
* Professional, reliable, and discreet
