Role Description
We are looking for an Administration & Operations Coordinator to join our team and help manage the daily operations of our language academy. The selected candidate will work closely with the Director and Co‑Director, contributing to the smooth running of the centre and ensuring an excellent experience for both students and families. This role plays a key part in maintaining an organised and efficient operation while making effective use of the academy’s digital systems and tools.
Qualifications
- Experience in academic coordination, educational administration, or operational management, preferably within the education sector
- Strong organizational and time‑management skills, with the ability to manage multiple tasks in a dynamic environment
- Excellent communication and customer service skills with students, families and prospective clients.
- Comfortable supporting student enrolment and contributing to the growth of the academy
- Comfortable working with digital tools and systems (CRM platforms, spreadsheets, calendars, or similar operational tools)
- Comfortable following structured processes and working with clear systems and workflows
- Ability to identify problems, evaluate solutions, and take initiative to resolve operational issues
- Ability to work collaboratively with the Director and Co‑Director in a team‑based environment
- Ability to teach English classes on rare occasions if needed, such as covering a lesson in case of unexpected teacher absence.
- High level of English and Spanish proficiency; additional language skills are a plus
- Bachelor’s degree in Education, Languages, Administration, or a related field (preferred but not essential)
Your Responsibilities:
- Manage the daily operations of the academy, ensuring smooth and efficient running of classes and activities
- Handle student enrolments, payments, and new enquiries, supporting the growth of the academy
- Communicate with families via WhatsApp, email, and in person, ensuring a professional and responsive service
- Monitor student attendance and general class organisation
- Use and manage internal digital systems (CRM, tracking tools, calendars)
- Resolve day-to-day operational issues and make practical decisions when needed
- Support basic academic coordination (groups, schedules, student follow-up)
- Deliver Friday tutoring sessions and occasionally cover classes when necessary
- Support the organisation of academy events and activities
You will play a key role in the daily life of the academy, working closely with students, families, and the leadership team in a dynamic and supportive environment. As the academy continues to grow — including the development of online programmes and new services — there will be opportunities to take on greater responsibility and grow within the organisation.
Salario:
1,600.00 euros/month (gross) plus additional annual bonus based on reached objectives (1,000-3,000 euros annual)
Sueldo: 1.600,00€-1.900,00€ al mes
