Office Manager Specialist – Madrid
Bechtle is seeking an Office Manager Specialist to ensure the smooth day‑to‑day operation of the Madrid office and support the People & Culture team. The role requires a highly organized, proactive professional with experience in office management, administration, or HR support, ideally in a dynamic and international environment. A C1 level in English is essential.
Key Responsibilities
* Coordinate daily office operations and manage suppliers (office supplies, cleaning, maintenance, insurance, etc.)
* Organise meeting rooms, the workspace layout, and desk allocation
* Coordinate visits, reception and manage the parking and desk booking system
* Manage the business travel booking platform and support internal events and overall office logistics
* Provide administrative support: monitor and control time tracking/attendance, handle day‑to‑day operational issues and prepare reports and presentations
* Support HR: assist with onboarding of new hires, coordinate access, equipment and logistics, support internal communication and administrative processes within People & Culture
What We’re Looking For
* Previous experience in office management, administration or HR support roles
* High level of English (C1) used in a professional environment
* Highly organised, proactive, detail‑oriented with strong coordination, multitasking and problem‑solving skills
* Excellent communication and interpersonal skills
* Good command of office tools (Excel, PowerPoint, etc.)
* HR‑related educational background is valued
* Experience in dynamic environments; ability to improve processes and propose solutions
* Service‑oriented mindset with a hands‑on attitude
