We are looking for a Team Assistant to join our fun, supportive and international team in Madrid, Spain. As a Team Assistant, you will provide an extensive and complex range of organisational and administrative tasks in support of our Advisory Management team. The adecuado candidate will thrive on project management, coordination, organisation and will be a self-starter. The position would be suitable for a range of experience from someone starting their career through to a person with a number of years of experience in an administrative role.
We are looking for someone with excellent organizational and writing skills, who is fluent in English and Spanish, capable of dealing with people at all levels, and always maintain a confidential and professional communication.
Reliability and adaptability are vital for this role, together with the ability to work independently and to be flexible on handling various organizational tasks with changing deadlines and priorities.
Key Responsibilities
- Managing internal processes for advisory contracts (status, signing, adding to ERP), including a point of contact between advisory leads and legal (main focus on Iberia and Nordics)
- Performing tasks related client onboarding, project documentation and invoicing via CRM and ERP
- Supporting and coordinating the internal activities of the Iberia and Nordic Advisory team such as internal events and trainings
- Communicating with clients, scheduling calls and workshops plus arranging meeting agendas for Iberian and Nordic Advisory Leads

Required attributes:
- Ability to speak and write fluently in English and Spanish
- Excellent interpersonal skills with ability to build relationships at all levels
- A self-starter, with a positive, can-do attitude, able to juggle a variety of tasks at any one time and able to plan ahead
- Passionate about teamwork but able to work independently, too
- Excellent project management, organisational skills, time management and attention to detail
- Strong ability to communicate clearly and professionally with both internal colleagues and clients
- Excellent MS office skills
Desirable attributes:
- Work experience as a team assistant or within an administrative position
- Proven experience working for a fast-growing professional services business or in a sales/client-facing environment
- Proven work experience managing complex meeting schedules across multiple time zones
- Experience with CRM and ERP systems, such as Salesforce, Microsoft Dynamics or other platforms
