We are looking for a proactive and highly organised Administrative Assistant to support the General Manager and Sales Manager in their daily operations. The ideal candidate will assist with invoicing, document management, team coordination, logistics support, and data maintenance in Microsoft Dynamics. This is an essential role to ensure smooth execution of project activities and to help keep administrative systems up to date.
Full-time position.
Office based in STP, Palma de Mallorca.
Assist in preparing and sending materials and equipment to projects (including tracking of shipments).
Support the purchasing process for subcontractors and suppliers (PO creation).
Help prepare project kits including PPE, gloss readers, uniforms, and other required materials.
Assist in project material and inventory tracking and machine/equipment maintenance schedules.
Experience in business administration, or related field.
Advanced knowledge of Microsoft Office Suite and familiarity with Microsoft Dynamics.
Fluent in English and Spanish, both written and spoken.
Ability to work under pressure in a dynamic, project-based environment.
