About the role
As a Travel Services Coordinator, you will be responsible for coordinating and supporting travel arrangements for individual clients and groups, ensuring bookings are accurate and customer needs are met from reservation through post-travel follow-up. This role combines customer service, operational support, and vendor coordination to deliver reliable, well-organized travel experiences.


Key responsibilities

* Coordinate travel arrangements including flights, accommodations, ground transportation, transfers and activities.

* Create, review and confirm itineraries and booking details to ensure accuracy and client satisfaction.

* Manage reservations, payments, rooming lists and related documentation in booking systems and internal records.

* Serve as a point of contact for clients, vendors and internal teams to communicate updates, special requests and schedule changes.

* Troubleshoot booking issues, cancellations or service disruptions and elevate when necessary.

* Monitor supplier confirmations and timelines, and maintain strong vendor relationships to secure preferred rates and services.

* Support administrative tasks such as invoicing, data entry, reporting and maintaining client profiles.

* Contribute to process improvements that enhance operational efficiency and service quality.


Requirements

* Prior experience in travel coordination, customer service, hospitality, or administrative support preferred.

* Strong organizational skills and the ability to manage multiple tasks and deadlines simultaneously.

* Excellent written and verbal communication skills; comfortable liaising with clients and vendors.

* Detail-oriented with good problem-solving skills and the ability to remain calm under pressure.

* Basic computer skills required (Microsoft Office especially Excel and Word email, internet research; familiarity with online booking tools or reservation systems is an advantage).

* Flexibility to work occasional early/late hours depending on client needs and vendor time zones.

* Professional, customer-focused attitude and ability to work effectively as part of a team.
