We’re looking for an enthusiastic office-based HR Assistant to support our international HR and Talent Acquisition team with daily operations, and HR projects across EMEA with a focus on Spain. This role provides an excellent opportunity to develop your skills within HR/Talent Acquisition.
Responsibilities
- You will provide administrative support in the recruitment and onboarding processes, assisting with scheduling, document creation, and onboarding preparations
- You will act as the first point of contact for candidates, shaping the candidate experience by arranging interviews and responding to candidate inquiries
- You will maintain and update HR systems for employee information and time management, ensuring accuracy and timeliness in data entries and deadline tracking
- You will manage employee files by handling contract amendments, updating records for current and former employees, and ensuring data accuracy
- You will be responsible for creating essential HR documents, such as employment contracts, certificates, and reports, while maintaining confidentiality
- You will handle sensitive employee information with care and ensure compliance with data protection regulations
- You will collaborate with internal departments on HR-related needs to support smooth interdepartmental operations
- You will schedule and monitor health and safety appointments for employees to ensure compliance with occupational health requirements
- You will assist with HR projects and marketing initiatives under the guidance of HR Managers and HR Business Partners, contributing to employee engagement and HR branding efforts
- You will manage communication with external bodies such as health insurance providers, social security offices, tax authorities, and immigration offices as needed
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent
- Prior experience in a similar Recruitment/HR administrative role
- Proficiency in Microsoft Word, Outlook, and Excel
- Strong attention to detail and organizational skills
- Excellent communication skills and a customer-focused approach
- Ability to handle sensitive information with confidentiality and professionalism
- Fluency in Spanish and English, both written and spoken, at a C1 level. French is a plus.
