Responsibilities
* Office & Facility Management
o Assure a clean, organized and tidy office in cooperation with external providers, including waste management and a “clean desk” policy for all employees;
o Ensure all office facilities are always in good working order;
o Ensure new employees have a fully-installed and working desk at start, including necessary material and gadgets (cooperation with IT where necessary);
o Prepare and keep meeting rooms ready for use; assist with external or internal meetings, video conferences or training sessions;
o Liaise with external office service providers and internal facility management team;
o Ensure workplace security and safety in cooperation with external providers and internal department;
o Waste & recycling management;
o Manage building and door access control and working time control of employees.
* Procurement
o Organize and supervise external service providers;
o Organize and supervise procurement of office material, drinks, etc.;
o Check, confirm and upload facility-related invoices onto the relevant Finance system (SAP Concur).
* General Administrative Support
o Handle mails and courrier;
o Prepare and issue fundamental documents, such as NDAs and release letters;
o Assist with bulk copying and scanning.
* Assistant Support to Iberia leadership
o Meetings management
o Manage expenses submission
o Manage travel, restaurant, hotel bookings
o Presentations and document preparation support
o Conference and events support
* Travel & Events Management
o Assure smooth travel management in cooperation with external service provider;
o Supervise adherence to Sompo Travel Guidelines;
o Support the organization of external or internal corporate events
* Reception
o Perform reception duties as assigned;
o Greet visitors (clients/brokers) with a professional, welcoming attitude.
