The ideal candidate will have a proven track record in document management systems within engineering or project environments.
Spanish fluency is required as part of this role.
WHAT WOULD YOU NEED? 3+ years of experience as a Document Controller or in Document Management Systems (DMS).
Strong proficiency in Microsoft Excel for data tracking and reporting.
Educational background in: Higher Degree in Administration or related to archive/document management.
Degree in Information and Documentation or similar.
Solid knowledge of document control processes, coding procedures, and version control tools such as Git (valuable).
Familiarity with Documentum or similar document management systems (DMS/SDG).
Proven experience working with document workflows, transmittals, and engineering documentation.
Advanced proficiency in Spanish (written and spoken).
Good level of English.
Strong problem-solving skills and ability to work both independently and as part of a team.
WHAT WILL YOU BE DOING? Develop and maintain document control processes within the project using Documentum or similar SDG tools.
Manage document lifecycle: creation, updates, revisions, approvals, and archiving.
Maintain and update the Master List of deliverables according to project progress.
Prepare and manage document transmittals, ensuring correct coding and documentation standards.
Apply document coding procedures and templates across project documentation.
Manage user access (creation/removal) within the document management system.
Ensure correct upload and validation of information in SDG according to project requirements.
Distribute documentation electronically in line with project distribution matrices.
Generate regular reports on document status and project progress.
Support engineering teams and planners by reporting documentation progress.
Upload and manage project reference documentation (specifications, standards, etc.).
Handle project-related correspondence linked to document control.
Train users in the selected document management system.
Assist technical teams in document coding for supplier documentation.
Coordinate with local documentalists where applicable to ensure proper document delivery.
Support project management in the preparation of project progress reports.
Stay current with document management best practices and tools.
