Corporate Services & Office Operations SpecialistThe Corporate Services & Office Operations Specialist plays a key role in ensuring the efficient management of corporate services and office operations within the organization. This position combines operational excellence with a strong digital and systems-driven approach, supporting key administrative functions while providing assistance to members of the Executive Committee.This position provides comprehensive support across fleet management, travel and expense systems, corporate cards, and general office administration, contributing to a well-organized and productive work environment.Job responsabilitiesFleet Management:- Manage a fleet of approximately 115 cars, including support for quotations and negotiation with vendors.- Initiate and process all new car requests, ensuring adherence to company policies and budget.- Assist with car delivery and ensure all necessary documentation is in place (personal details, insurance, green cards).- Oversee the management of fuel cards and administration of traffic fines.Provide support and coordination for incidents and accidents involving fleet vehicles, as well as maintenanceTravel System Management:- Manage the internal corporate travel booking application and the corporate taxi application, including new user registration, managing blocked accounts, and data updates.- Provide support to users regarding access issues and password resets for both tools.Corporate Cards Management:- Handle the request, follow-up, and delivery of corporate cards.- Support employees with corporate card application registration processes.- Process and manage travel allowance requests, particularly in cases of returns.Manage incidences related to corporate travel, such as stolen luggage or VISA hacking complaints.- Collaborate with Compliance and Finance departments to ensure proper management as card volume increases.Internal Asset Allocation & De-allocation:- Manage allocation and de-allocation requests within the internal Configuration- Management Database for various assets related to employee services, including corporate cards, cars, corporate travel booking tools, and expense reports.- Physical Document Inventory Management:- Manage the inventory of physical documents for LVMH, coordinating with external partners for storage and destruction.Executive Support:- Provide support to members of the Executive Committee, including agenda management and coordination.- Act as a key point of contact, ensuring smooth communication and coordination across stakeholders.ProfileQUALITIFCATIONS:- Proven experience in office management, executive assistance, or similar roles supporting senior stakeholders.- Demonstrated experience supportingC-level or senior leadership.- Strong organizational and multitasking skills in fast-paced environments.- High level of discretion and confidentiality.Digital & Technical Skills:- Advanced proficiency in Microsoft Office Suite (especially Excel and Outlook).- Experience working withSAP or similar ERP systems.- Strong ability to navigate and manage multiple digital tools and web-based applications (fleet, travel, expenses, etc.).- High digital mindset, with the ability to quickly adapt to new tools and systems.- Familiarity with AI tools (e.G., Copilot) is a plus.Languages:- High level of Spanish and English is mandatory.- Portuguese or French is a plus.Other:- Driving license (B) is desirable.KEY SKILLS:- Organizational Skills- Attention to Detail- Communication (Written and Verbal)- Problem-Solving- Time Management- Customer Service Oriented- Data Entry and ManagementAdditional informationLVMH Beauty Iberia believes in every person’s unique talent and celebrates all singularities.
