The Opportunity

We are looking for an Administrative Finance Assistant to provide operational and administrative support to the Finance department.

The position will report to the Group Financial Controller and will work closely to the Accounts Payable function.

This role is critical to ensure that the growing administrative workload associated with purchases, suppliers, travel expenses, grants, financing documentation and financial processes is managed efficiently and accurately.

We are looking for a proactive, organized and reliable person capable of managing a high volume of administrative tasks with autonomy, attention to detail and strong follow-up skills.


What You Will Do

Your mission will be to support the day-to-day administrative operation of the Finance department, ensuring the correct execution and follow-up of administrative processes across the business.

* Manage payment runs in coordination with Financial Controller.
* Perform bank reconciliations and payment reconciliations.
* Support monitoring of outstanding purchase orders and received goods pending invoicing.
* Follow up suppliers to obtain missing invoices and supporting documentation.
* Monitor company cards and travel expenses documentation.
* Support expense justification processes and documentation collection.
* Manage online purchases for the company (Amazon, Mercadona, office supplies, operational consumables and other business needs).
* Follow up deliveries, incidents, returns and supplier communications.
* Coordinate administrative aspects of logistics and customs documentation when required.
* Maintain purchase records and supporting documentation.
* Compile and organise supporting documentation for grants, loans and financing programmes.
* Collect invoices, payment proofs and supporting evidence.
* Prepare documentation packages and PDF files for submission to auditors, funding institutions and external advisors.
* Maintain document traceability and filing structures.
* Support signature processes and document management.
* Maintain organised digital and physical archives.
* Assist with general administrative activities required by the Finance department.
* Ensure compliance with established procedures and internal controls.


What We Are Looking For

* Vocational Training (FP), Business Administration qualification or equivalent experience.
* Previous experience in administrative positions.
* Experience managing administrative documentation and high-volume repetitive tasks.
* Good command of Microsoft Excel.
* Spanish fluent and intermediate English (minimum B2 level).

Key Skills (Nice to Have)

* Experience supporting Finance departments.
* Experience with ERP systems (Business Central, Dynamics 365 or Navision).
* Experience managing documentation (audit, grants justifications, etc).
* Experience with supplier management and purchasing processes.
* Basic accounting knowledge.
* Experience managing travel expenses and corporate cards.
