We are looking for a Facilities Manager to join the team and to lead facilities projects and workplace improvement initiatives end-to-end, from feasibility and optioning through tendering, construction, and handover.
Immediate priorities include delivering a private CEO office and resolving canteen overcapacity.
Act as the site's Local Environmental Officer (LEO), coordinating environmental initiatives and reporting.
Coordinate with IT/AV for integrations when needed, but do not own AV/VC standards or improvements.
Day-to-day Facilities Operations remain out of scope.
What will your duties be?
Continuous improvement and specific initiatives Develop and deliver improvement projects that enhance capacity, comfort, energy efficiency, accessibility, and wayfinding.
Canteen capacity: assess demand and bottlenecks, propose quick wins and medium-term layout/flow changes, and deliver construction phases as approved.
CEO office: produce options and a business case, secure permits/licensing updates as needed, tender and manage works to completion with minimal disruption.
Sustainability and Local Environmental Officer (LEO) Serve as LEO for the Barcelona site; coordinate local environmental/ESG initiatives (e.g., waste reduction, recycling, energy and water efficiency, plastic-free actions).
Track and report site environmental KPIs and support corporate reporting and audits.
Embed environmental considerations into project scopes and contractor requirements; promote responsible construction practices.
Support the ESG SPOC with data, initiatives, and communications.
Project delivery and governance Own the lifecycle of workplace projects: requirements intake, feasibility/test fits, business case, delivery plan, construction, and handover.
Establish project charters, schedules, budgets, risk/issue/change control, and regular stakeholder updates with clear decision logs.
Procurement and tendering Run RFI/RFP/RFQ processes for design and construction packages; develop scopes of work, BOQs, and evaluation criteria.
Evaluate bids (technical capability, schedule, price, ESG), recommend awards, and support contracting with Procurement.
Manage general contractors and specialist trades; drive value engineering without compromising safety, compliance, or functionality.
Budget, schedule, and quality Build detailed cost plans (design services, permits if applicable, works, furniture, IT integration, moves, contingencies) and maintain accurate forecasts.
Track progress versus plan; identify risks early and implement mitigations; enforce quality standards and punch-list management; provide transparent reporting.
Stakeholder and change management Engage CEO Office, Workplace, HR, IT/Networks, Security/P&R;, Procurement, Finance, Corporate Real Estate management, Building Management, and landlord as needed.
Plan and communicate works, outages, and moves to minimize business disruption; run user workshops and manage approvals.
Communications advisor: partner with Communications Specialists to craft posts and status updates on planned works, construction progress, and temporary outages.
Which are the requirements?
Degree in Architecture, Architectural/Building Engineering, Civil/Building Engineering, or related field; Architecture strongly preferred for fit-out and workplace reconfiguration.
2 years delivering office fit-out/refurbishment projects in Spain, including tendering and site coordination in occupied environments; must have completed at least two relevant projects end-to-end (from scope to handover).
Proven experience running RFIs/RFPs, coordinating contractors and multi-trade interfaces, and tracking budget, schedule, and quality.
Ability to read and mark up architectural and MEP drawings; solid understanding of office planning, acoustics, basic building systems, and fire/life-safety considerations.
Experience coordinating site-level sustainability initiatives and willingness to act as Local Environmental Officer (LEO), with ability to track and report environmental KPIs.
Strong stakeholder communication, negotiation, and vendor management skills; comfortable engaging senior executives and external partners.
Tools: Microsoft 365 (Excel, PowerPoint) and Microsoft Planner for project tracking and coordination; ability to review AutoCAD/Revit outputs; confident cost modeling and reporting in Excel.
Languages: Spanish and English fluency (written and spoken).
