The Malaga campus is looking for a Campus Assistant for a permanent contract.
Teaching assistance
* Welcome and inform students.
* Help monitor students: distribute handouts, check attendance and absences, monitor enrolment and marks, distribute exam papers, provide disciplinary advice, etc.
* Plan lessons: coordinate with teachers to schedule lessons in ERP and reserve rooms. Implementation methods may vary depending on the campus or program.
* Manage courses: schedule and distribute course materials, process cancellations and postponements, declare ancillary activity hours, process enrolments and manage absences.
* Manage examinations: oversee revision programs, distribute and send exam papers, receive and verify exam papers and absences, communicate marking information (dates, formats, etc.) to relevant parties.
* Draw up budget estimates for modules for the academic year.
* Welcome and manage external lecturers/professors: arrange travel and reservations, process expense claims and invoices, manage contractual relations before drawing up employment contracts, and coordinate with the HR team.
Accounting-related activities
* Create purchase requisitions and orders for ESSCA Malaga.
* Check and allocate overhead invoices and issue them for payment.
* Transmit invoices/expense statements to the accounting service provider.
* Transmit declarations (local taxes, VAT, etc.) to external service providers.
* Draw up invoices for tuition fees, monitor receipts, and forward them to the external service provider for registration.
Campus logistics
* Provide telephone and physical reception services.
* Handle incoming and outgoing mail.
* Assist the Director of the Malaga campus.
* Manage travel and meeting logistics: book rooms, accommodation, transport, etc.
And Occasionally
* Participate in events related to the life and development of the Malaga campus (open days, student fairs, conferences, exams, etc.).
Profile
You have a minimum of 2 years of higher education with a major in administration and solid experience in executive assistant work. Ideally, you have already worked in a higher education establishment.
Fluency in Spanish, English and French is essential to interact effectively with an international audience. You also have excellent skills in using a variety of IT tools (Office Suite, Canva, social networks and ERP).
Your interpersonal skills, diplomacy, team spirit, and sense of service are qualities that enable you to adapt easily to various contacts.
You enjoy working in project mode and are recognized for your ability to propose solutions and your proactivity. Managing priorities, rigor, and adaptability to all situations are among your strengths.
