The HR Operations department provides first point of contact - generalist HR assistance to specific markets. This includes overseeing the timely administration of new starter contracts, leavers, letters, payroll processes, sickness and holiday administration, maintaining HRIS databases/spreadsheets, and advising on ER queries in line with local HR policies. The department also supports health & safety in the office, and liaises with various stakeholders across offices and sites.
What You’ll Do :
This role supports business operations by delivering effective and professional HR services, including:
1. Managing the full HR operational lifecycle: preparing contracts, letters, statements, leaver documents, tracking probation periods and contract renewals according to local laws, maintaining personnel files and HRIS systems for audits.
2. Preparing monthly regional files in collaboration with retail stores and payroll: tracking sick leave and holidays, calculating pro-rata leave entitlements, reviewing and validating timesheets (including working hours and overtime) in compliance with local laws.
3. Managing employee grievances, disciplinary actions, investigations, and performance cases in the field, working closely with HR Business Partners and managers.
4. Ensuring company policies comply with local legislation and are well communicated to employees and managers.
5. Maintaining T&A and Workday systems for accuracy.
6. Administering work visas, occupational health, and benefits.
7. Communicating with local authorities as necessary.
What You’ll Need to Have :
* Minimum 3 years of HR administration or payroll experience in Spain or Portugal.
* Proficiency in English; Spanish is a plus.
* Experience with Workday is preferred.
* Fast learner, self-motivated, independent, able to work under pressure.
* Familiarity with T&A systems and excellent computer skills, especially Microsoft Excel.
