We are currently seeking a Senior HR Administration and Payroll Specialist to join our HR team at our Spanish office in Mataró, Spain.
The ideal candidate brings solid experience in HR administration and payroll, with a strong understanding of European HR practices within structured and multinational environments. This role will play an active specialist function in managing day-to-day HR administrative processes across the country with a focus on payroll coordination, compliance, and support to HR initiatives.
This is a strategic position for a motivated professional eager to contribute to the development of a growing HR team in a dynamic, international context.
CORE RESPONSABILITIES:
* Manage the full employee lifecycle administration (onboarding, contract preparation and updates, changes, offboarding) across Spain.
* Support accurate and timely payroll processing in collaboration with external payroll providers (e.g. ADP), including the collection of payroll data and review of payroll outputs.
* Monitor and maintain attendance and leave processes (sickness, maternity/paternity, holidays, accidents), ensuring proper documentation and workflow accuracy.
* Act as a point of contact for European employees on HR administrative and payroll-related topics.
* Maintain and update HRIS systems and HR databases, ensuring accuracy of employee records and contract data.
* Ensure HR administrative activities are aligned with local labour regulations and internal company policies.
* Contribute to the development and updating of local HR policies, employee handbooks, and HR documentation in line with company standards and local regulations.
* Support international HR projects related to process harmonisation, compensation data collection, and contract alignment.
* Assist in the management of Time & Attendance systems and ensure proper integration with payroll processes.
* Prepare HR administrative reports and KPIs to support HR Business Partners and Finance teams.
SKILLS AND ATTITUDES:
* Minimum of 5 years' experience in HR administration and payroll.
* Strong knowledge of European labour regulations, with particular emphasis on Spain and Spanish labour law
* Familiarity with external payroll platforms such as ADP.
* Proficiency in using HRIS systems and tools for data management and reporting.
* High attention to detail and strong organisational skills.
* Ability to handle confidential information with discretion.
* Proactive, results-oriented, and equipped with strong problem-solving and decision-making skills.
* Proficiency in Spanish and English, Italian is a plus.
